Present Job Profile :

Executive Secretary
• Orchestrating MD’s appointments & managing his Calendar.

• Handling visitors, arranging meetings.

• Travel arrangements for the Management & Staff. Coordinating with the meetings for MD’s visit.

• Arranging tickets, insurance and foreign exchange for the consultants who travel.

• Ensure smooth functioning of MD’s Office during his absence and acted on behalf of them in the specified areas.

• Organize in-house meetings & external meetings with the vendors, customers, consultants etc. Drafting Minutes of the Meetings.

• Nominating for seminars /conferences, subscription of magazines, memberships etc.

• Coordinating with the Company Secretary for filing of documents with ROC, Filing of DIN for the Directors, Preparing the Minutes, Preparing the required documents for filing with ROC etc.

Accounts :
• Checking Travel Claims and forwarding the same to Accounts Department for the reimbursement after getting approval.

• Petty Cash maintenance, Vendors payments, office automation etc.

• Maintenance of vendors account for timely payment.

• Arranging Bank Account Opening formalities for the new joiners.

• Counter checking Bank transactions.

Administration :

• Preparing MIS Reports for the review by the Management.

• Ensure smooth functioning and implementation of policies and follow the process as per the procedures laid down by the management.

• Interacting with the clients and understanding their requirements.

• Sourcing and Screening the potential candidates through job portals.

• Conduct first level of telephonic interview, initial short listing and first round of interview. Arranging the other rounds of interviews in co-ordination with the Resource Manager.

• After the selection, follow up and coordinate with the candidate till they join.

Secretarial

• Keeping track of the consignment sent, consignment received from the franchisee and maintaining the accounts of these transactions of the franchisee.

• Taking care of the petty cash, bank accounts, loan accounts, and chit accounts etc. Keeping track of the commissions paid, sales made, land details etc.

• Checking & passing the travel expenses for payment.

Administration :
• Keeping track of the day-today meeting of the doctors of each medical representative, their daily reports and reporting the same to the Regional Business Manager.

• Browsing the Internet to collect the required information for the management’s foreign trip for attending the exhibitions, seminars and meetings.

• Browsing the Internet to get information on the software and educating the customers to browse and get the required information in a browsing center. Helped the college students to get the required information for their project work and help in printing, taking Xerox to complete the projects.
